Workflows: Intelligent Checklists in Step Creation (Pro tier feature)
Transform the Step creation in FRONSTEPS Manager modal into a collaborative workflow builder that mixes automation from ALLi with human-in-the-loop checkpoints. Managers can assign tasks to ALLi, schedule and recur work, embed structured prompts, and route individual checklist items to teammates—all from one place.
Feature Overview:
What’s New:
Intelligent Budget Generation
Intelligent Budget Generation guides Community Managers through the complete annual budgeting process in one connected experience.
Managers begin by selecting the community and budget year, entering expense-growth assumptions, choosing an insurance projection method, uploading a Reserve Study, selecting a reserve-funding approach, and providing any known issues or additional community context. Each step is validated as the Manager progresses, and a final review screen summarizes the assumptions before the budget is generated.
Using Caliber general-ledger data and the Manager’s inputs, the budgeting engine then creates a proposed annual operating budget using a transparent calculation hierarchy:
Manual Override → Schedule Override → Annualized YTD with Growth → Prior-Year Budget → Prior Actual → CPI → Placeholder
Every budget line identifies how its value was calculated, making the resulting budget fully traceable and easier to audit. Account mapping also helps apply a consistent budgeting structure across communities.
The generated budget includes the supporting schedules Managers expect, including bad debt, insurance-renewal blending, reserve funding, planned projects, Balance Sheet statements, and Income and Expense statements.
Once the baseline budget is ready, ALLi evaluates each general-ledger account individually and recommends potential adjustments. These recommendations are grounded in the community’s historical Caliber data, shared community context, uploaded documents, Manager-provided notes, and relevant market or inflation information.
Each ALLi recommendation includes:
- The recommended percentage and dollar adjustment
- An explanation of the recommendation
- An option to apply or dismiss the recommendation
Recommendations appear in the Budget Viewer alongside the baseline budget. Managers can apply, review, undo, or dismiss recommendations while totals update automatically. Lines modified using an ALLi recommendation are visually identified, and the reasoning remains available for review.
When the budget is complete, the Manager can generate a final FRONTSTEPS Excel workbook with live formulas. The workbook reflects the final values shown in the Viewer and includes an automatically populated Caliber Import tab to help streamline loading the approved budget back into Caliber.
Benefits:
One guided budgeting workflow
Managers are guided from initial assumptions through final export without needing to understand the underlying mechanics of workbook construction.
- Formula-accurate and traceable
Every number comes from Caliber data, an explicit assumption, a supporting schedule, or a Manager override. Each budget line explains how it was calculated. - Account-level intelligence
ALLi evaluates individual accounts instead of applying a single growth percentage across the entire budget. - Managers remain in control
ALLi provides recommendations, but nothing is changed without the Manager choosing to apply it. Recommendations can also be reversed at any time. - Consistent across a portfolio
Account mapping and standardized calculation logic make it easier to produce consistent budgets across multiple communities. - Board-ready Excel output
The final workbook contains live formulas, reflects the reviewed budget, and includes the information needed for board and accounting review. - Ready for Caliber
The automatically populated Caliber Import tab reduces the manual work required to enter an approved budget back into the accounting system.
What’s Improved:
- Replaces the chat-based Budget Draft Agent with a structured, validated experience designed around the way Community Managers build budgets.
- Eliminates the need to export data, rebuild formulas, repair workbook errors, and repeat the same spreadsheet process for every community.
- Replaces blanket percentage increases with account-specific recommendations grounded in historical and community-specific information.
- Gives Managers a clear record of what changed, why it changed, and which values were influenced by ALLi.
- Brings budgeting intake, generation, analysis, review, and export together in FRONTSTEPS Manager.
Why It Matters:
Budget preparation has traditionally required Community Managers to export general-ledger information, gather prior budgets, review financial statements, rebuild formulas, validate assumptions, and repeat the process for every community they manage.
Intelligent Budget Generation brings that process into one guided workflow.
Budgets that previously took days of spreadsheet work can now be created through a faster, more consistent, and fully traceable process. ALLi performs the account-level analysis while the Community Manager retains final control over every change.
Primary users: Community Managers, accountants, finance teams
Secondary users: Board members and other members reviewing the completed budget
Benefits:
- Hybrid Automation, On Your Terms: Seamlessly blend AI and human steps so routine work is automated while key decisions stay with people.
- Clear Ownership & Accountability:
@mentionsassign every item to either ALLi or a teammate, eliminating ambiguity and handoff delays. - Consistency at Scale: Markdown prompts standardize instructions, ensuring ALLi delivers predictable, repeatable results across communities.
- Faster Cycle Times: Scheduling and recurrence reduce lag between steps and keep recurring work moving without manual kicks.
- Richer, Traceable Audit Trail: ALLi’s comment posts and auto‑attached outputs create a complete record of what ran, when, and by whom.
- Fewer Reworks Through Context: By reading prior comments, ALLi tailors follow‑up actions to the latest information rather than starting from scratch.
- Flexible Orchestration: Reorderable checklists make it easy to adapt processes as requirements change—no heavy reconfiguration needed.
